The Purpose of a Monthly Review

A monthly review is a deliberate pause to look backward at what happened, extract the most useful lessons, and look forward to make intentional decisions about the next month. Without this rhythm, months blur into each other with patterns unexamined and opportunities unidentified. With it, each month becomes a structured learning cycle that compounds your business intelligence over time.

The review should take 60-90 minutes done thoroughly, or 30 minutes done minimally. Both produce value. The important thing is consistency — a brief monthly review every month produces more cumulative value than a comprehensive review done sporadically.

Part One: Financial Close

Start by completing all outstanding financial tasks for July. Send any invoices for completed work not yet billed. Check your invoice dashboard for any overdue amounts requiring follow-up. Reconcile your invoice records against your bank account — every payment received should match a sent invoice. Calculate your July revenue total and compare it against your monthly target. Record the variance and its primary cause.

Review your year-to-date position against your annual revenue target. Are you ahead, on track, or behind? If behind, by how much, and is the deficit recoverable through realistic August-December performance? This honest accounting creates the context for your planning decisions.

Part Two: Time and Project Review

Open your time tracking records and review July's hours by client and activity type. Calculate your billable hours total, your billing efficiency ratio (billable ÷ total working hours), and your effective hourly rate (revenue ÷ total hours including non-billable project work). Compare these metrics against your targets and against the previous month.

Review each project that was active in July. What's the current status? What's required to complete it? Are there any projects at risk of overrun or client dissatisfaction that need proactive attention in August? Make a concrete action note for each at-risk project.

Part Three: Client and Pipeline Review

Review your active client relationships: who did you speak with in July, who have you not been in contact with recently, and who deserves a proactive check-in in August? Review your new business pipeline: what conversations are active, what's the expected close date and value, and what action is needed to advance each?

Identify your top three client development priorities for August: a specific action to deepen an existing relationship, a specific new prospect to approach, and a specific follow-up on an outstanding proposal or conversation. Three priorities with named actions are vastly more likely to happen than a general intention to "develop more business."

Part Four: August Planning

Set your August revenue target, your priority deliverables for active projects, your three client development actions, and one operational improvement you'll implement. Write these down. Review them in your first working hour of every Monday in August. The discipline of written commitments reviewed regularly is the mechanism that converts monthly planning from intention into action.
