Standard Operating Procedures for Solopreneurs
SOPs aren't just for big companies. Here's why every solopreneur needs them and how to build a lean SOP library that makes your business more consistent and scalable.
What SOPs Do for a One-Person Business
Standard operating procedures — documented step-by-step processes for recurring tasks — are traditionally associated with large organisations managing teams. But solopreneurs benefit from them in different and equally valuable ways. SOPs externalise knowledge from your head into a format that can be executed even when you're tired, distracted, or returning after a break. They ensure consistency in how you serve clients. And when you eventually engage a VA or collaborator, an SOP library reduces onboarding time from weeks to hours.
Which Processes Deserve an SOP
Prioritise SOPs for processes that: occur frequently (at least monthly), involve multiple steps where steps are forgettable, have meaningful consequences when done wrong, and currently cause you stress or require significant mental effort to execute. Common high-value solopreneur SOPs include: new client onboarding, project kickoff checklist, invoice creation and sending process, late payment follow-up sequence, monthly financial review, and social media or content publishing process.
Low-priority candidates are processes you do rarely, processes where the steps are trivially obvious, and processes you're actively working to eliminate or automate entirely. Don't write SOPs for things you're planning to remove from your workflow.
Writing an SOP That Actually Gets Used
The most common SOP failure mode is over-engineering: multi-page documents with decision trees and conditional branches that nobody reads. Effective solopreneur SOPs are brutally concise: a numbered list of steps, written in imperative voice ("Log into invoicing tool," "Check all required fields," "Send to client email"), with the minimum context needed to execute without looking anything up.
Each step should be atomic — a single action, not a compound instruction. "Log in and check overdue invoices" is two steps. If a step requires a decision, note it explicitly: "If invoice is 7+ days overdue, skip to step 8." Screenshots or screen recordings for technical steps reduce error rates significantly for complex software workflows.
Your Invoicing SOP as a Model
Your invoicing SOP is a good practice example because the consequences of errors are concrete. A complete invoicing SOP for a freelancer might include: trigger condition (project milestone reached or month-end), steps to create the invoice in your invoicing tool, required fields checklist, review step before sending, sending procedure, calendar entry for follow-up, and filing protocol for the sent invoice. This SOP prevents the most common invoicing errors — wrong amount, missing VAT details, incorrect client address — and ensures consistent follow-up timing.
Maintaining Your SOP Library
SOPs become outdated as your tools and processes change. Build a quarterly review into your calendar: review each active SOP for accuracy, update any steps that have changed, and add SOPs for new recurring processes you've identified. Archive rather than delete superseded SOPs — occasionally you'll need to refer back to how you did something previously when troubleshooting a client issue.
