Why IBAN Errors Cost Freelancers Money

A single incorrect digit in an IBAN can cause a payment to fail, bounce back to the sender, or in rare cases be credited to the wrong account. The recovery process for a misdirected SEPA payment takes days to weeks and involves both banks. Meanwhile, your invoice sits unpaid and your cash flow suffers. Getting IBAN details right on every invoice is a basic but genuinely important discipline.

Beyond errors, incomplete banking information creates friction for clients' accounts payable teams who can't process your invoice without a valid IBAN. Invoices that sit in AP queues waiting for missing information are a hidden cause of late payment that has nothing to do with the client's willingness to pay.

IBAN Structure and Validation

An IBAN (International Bank Account Number) consists of a two-letter country code, two check digits, and the domestic bank account number (BBAN) in a format specific to each country. German IBANs are 22 characters. Dutch IBANs are 18 characters. French IBANs are 27 characters. Always verify your IBAN by checking the character count for your country and using your bank's IBAN calculator to confirm the check digits are valid.

Many banks provide your IBAN on your bank statement, in your online banking portal, or on your debit card. If you're unsure, call your bank directly rather than manually converting your account number, as conversion errors are common.

What Your EU Invoice Must Include

For SEPA payments, include the following on every invoice: your full legal name or business name exactly as registered with your bank, your complete IBAN (no spaces in the transmitted version, though spaces can be added for readability), your bank's BIC/SWIFT code (required for cross-border payments within SEPA, optional for domestic), and your bank's name and address for reference.

Some EU countries require additional information on invoices for VAT purposes: your VAT registration number, the client's VAT number for reverse charge transactions, and a specific payment reference format. Payment Reference Best Practices

A clear, consistent payment reference makes reconciliation effortless for both you and your client. Use your invoice number as the payment reference — "INV-2026-047" is unambiguous and easy to match against your records. Avoid generic references like "freelance services" that make it impossible to identify which invoice a payment relates to when multiple invoices are outstanding simultaneously.

Some large corporate clients have specific payment reference format requirements for their AP systems. Ask at the start of new client relationships whether they have a preferred reference format. Accommodating this small preference eliminates a common cause of payment processing delays on their side.

Multi-Currency Accounts and IBAN

If you use a multi-currency business account (Wise, Revolut), you'll have separate IBANs for each currency held. Ensure you include the correct IBAN for the currency in which you're invoicing.
